Guest Services

Admissions Table volunteers manage guest entry by selling passports, processing payments on the POS machine, and stamping passports while providing a welcoming first impression to the Kyiv Pavilion.

Key Responsibilities
● Welcome guests and manage the admission process
● Sell passports and process payments using handheld POS
● Stamp passports upon entry
● Count and record the number of guests entering the pavilion
● Provide basic event information and directions
● Maintain an organized and efficient admissions area

Minimum Requirements
● Experience using a handheld POS system
● Comfortable handling cash and electronic payments
● Strong attention to detail and accuracy
● Organized and able to manage high guest volume

The Assistant Treasurer supports cash handling and financial operations during the event, ensuring tills are balanced, cash is managed efficiently, and financial procedures are followed.

Key Responsibilities
● Assist with cash counting and till balancing
● Collect cash from POS stations at regular intervals
● Ensure tills maintain appropriate cash levels
● Prepare and distribute cash floats
● Support accurate tracking of cash movement
● Assist with reconciliation against POS reports
● Maintain secure handling and transport of cash
● Support Treasurer with financial tasks as required

Minimum Requirements
● Must be 19 years of age
● Trustworthy and comfortable handling cash
● Strong attention to detail
● Organized and able to work efficiently in a busy environment
● Basic Excel/accounting skills (advanced skills an asset)

Cultural Display Volunteers engage with guests to share knowledge and appreciation of Ukrainian culture, enhancing the overall Kyiv Pavilion experience through education and storytelling.

Key Responsibilities
● Engage with guests and answer questions about cultural displays
● Share knowledge of Ukrainian traditions and artifacts
● Ensure display items remain organized and respected
● Encourage appropriate interaction with cultural materials

Minimum Requirements
● Strong knowledge of Ukrainian culture and traditions
● Comfortable speaking with and engaging guests
● Approachable and enthusiastic

Event Set-Up Volunteers help prepare the venue before the event begins by assisting with decorating,
arranging tables and chairs, and completing various set-up tasks. This role supports the creation of a
welcoming and well-organized event space.

Key Responsibilities
● Assist with setting up tables, chairs, and other event equipment
● Help decorate the venue according to the event theme and plan
● Take direction from event leadership on assigned set-up tasks
● Support a variety of tasks ranging from light decorating to heavier set-up duties
● Ensure the event space is organized, safe, and ready for guests

Minimum Requirements
● Willing and open to assisting with a variety of set-up tasks
● Comfortable taking direction from event leadership
● Ability to perform light to moderate lifting when setting up tables and chairs
● Comfortable using a 5-foot ladder when required for decorating or set-up tasks
● Creative and willing to contribute to the overall event atmosphere

Event Tear-Down Volunteers help restore the venue after the event by removing decorations, packing up materials, and assisting with the breakdown of tables, chairs, and equipment. This role helps ensure the space is cleared efficiently and safely once the event concludes.

Key Responsibilities
● Take down decorations and event displays
● Fold, stack, and organize tables and chairs
● Assist with packing up event materials and equipment
● Support a variety of tear-down tasks ranging from light duties to heavier lifting
● Take direction from event leadership to ensure tear-down is completed efficiently

Minimum Requirements
● Willing and open to assisting with a variety of tear-down tasks
● Comfortable taking direction from event leadership
● Ability to perform light to heavy lifting when moving tables, chairs, and equipment
● Comfortable using a 5-foot ladder when required for removing decorations or materials
● Able to work in an active environment until tear-down is complete

Table Management Volunteers maintain a clean and organized dining area to ensure guests have a comfortable and enjoyable space throughout the Kyiv Pavilion.

Key Responsibilities
● Clear dishes, cups, and waste from tables
● Wipe and sanitize tables regularly
● Monitor seating areas and respond quickly to cleaning needs
● Dispose of garbage and recycling appropriately
● Maintain overall cleanliness of the dining area

Minimum Requirements
● Able to stand and move throughout the shift
● Comfortable working in a busy environment
● Able to follow cleanliness and waste procedures

50/50 Ticket Sales Volunteers generate event revenue by promoting and selling raffle tickets while engaging guests in a friendly and energetic manner.

Key Responsibilities
● Promote and sell raffle tickets throughout the venue
● Engage guests and explain the raffle clearly
● Process transactions using POS and cash
● Handle cash accurately and provide correct change
● Maintain accurate sales handling

Minimum Requirements
● Comfortable using POS systems and handling cash
● Outgoing and confident engaging with guests
● Able to move throughout the venue during shift
● Energetic and sales-oriented

Crowd Control

All Crowd Control volunteers play an important role in supporting responsible alcohol service throughout the event. Volunteers should remain attentive to ensure that:

● Guests consuming alcohol appear to be of legal drinking age (19 years or older in Saskatchewan)
● Alcoholic beverages are not being passed to minors
● Guests are not showing signs of extreme intoxication

If there are concerns, volunteers may politely request valid photo identification to confirm age. Any issues or concerns should be reported to the Crowd Control Team Lead or Event Leadership for appropriate follow-up.

The Cultural Display Coordinator protects and oversees the cultural display area, ensuring items are respected and preserved while supporting guest engagement.

Key Responsibilities
● Monitor display area to prevent damage or misuse
● Ensure guests do not touch or disturb display items
● Politely guide guest behavior around the display
● Support Cultural Display volunteers as needed
● Maintain a respectful and informative environment

Key Notes
● This role complements the Cultural Display volunteer role
● Focus is on protection and preservation, not education

Door Counters monitor and track guest attendance to ensure the venue remains within approved capacity limits. This role operates as a coordinated pair, with one volunteer stationed at the entrance and one at the exit.

Key Responsibilities
● Count guests entering and exiting using hand counters
● Maintain accurate, real-time attendance tracking
● Communicate regularly with the paired counter to confirm totals
● Ensure total guest count does not exceed maximum capacity
● Notify leadership immediately if capacity limits are approached or exceeded

Key Notes
● Entrance and Exit Counters must work in sync at all times
● Clear communication between both roles is critical

The Food Line Coordinator manages guest flow at the food service area, directing guests to available cashiers to ensure efficient service and minimize wait times.

Key Responsibilities
● Direct guests to the next available cashier/till
● Monitor line length and flow
● Keep the line moving efficiently
● Communicate with Kitchen Front of House Leader if delays occur
● Provide clear direction to guests to reduce congestion

Key Notes
● This role is critical during peak meal times
● Strong communication and awareness are essential

General Crowd Control volunteers monitor the main event floor to help maintain a safe, organized, and enjoyable environment for all guests. This role supports overall crowd awareness by observing guest activity, identifying potential concerns, and assisting with maintaining a positive atmosphere.

Key Responsibilities
● Patrol and monitor the main floor and high-traffic areas
● Observe guest activity to ensure a safe and controlled environment
● Support responsible guest behaviour and notify leadership of concerns
● Assist with managing congestion or crowd build-up as needed
● Provide direction and assistance to guests when required
● Support overall event flow and safety

Key Notes
● This role focuses on awareness and prevention, not enforcement
● Must remain approachable, calm, and professional at all times
● Escalate any safety or behaviour concerns to the Crowd Control Team Lead

The Stage Entrance Coordinator controls access to backstage areas, ensuring only authorized individuals (performers and approved staff) are permitted entry.

Key Responsibilities
● Monitor backstage entry points
● Restrict access to authorized individuals only
● Politely redirect guests attempting to enter restricted areas
● Support performers and staff with access as required
● Notify leadership of any concerns or issues

Key Notes
● This role supports both security and event professionalism
● Must remain firm but respectful when interacting with guests

Food Services

The Kitchen Cashier processes food orders and payments while maintaining efficient service and positive guest interactions.

Key Responsibilities
● Process transactions using POS
● Handle cash and card payments
● Provide correct change
● Communicate orders to runner
● Maintain organized cashier station

Minimum Requirements
● Must be 18 years of age or older
● Comfortable with POS and cash handling
● Strong organization and leadership
● Works well in fast-paced environment

The Kitchen Cook Assistant supports the cooking and heating of food to ensure a consistent supply of hot, ready-to-serve items. Working under the direction of the Kitchen Back of House Leader, this role helps maintain efficient kitchen operations and supports timely food service.

Key Responsibilities
● Assist with cooking and heating food according to menu requirements
● Ensure food is prepared and maintained at safe serving temperatures
● Support timely replenishment of food items based on demand
● Follow all safe food handling and hygiene practices
● Maintain a clean, organized, and safe cooking area
● Take direction from the Kitchen Back of House Leader and support overall kitchen operations

Minimum Requirements
● Must be 18 years of age or older
● Comfortable working in a fast-paced kitchen environment
● Able to follow instructions and work as part of a team
● Reliable and attentive to food safety and quality

The Kitchen Order Runner supports order fulfillment by retrieving and assembling food orders quickly and accurately.

Key Responsibilities
● Listen to and confirm customer orders
● Retrieve and assemble food items
● Deliver completed orders to cashier
● Maintain efficient order flow
● Support kitchen teams as needed

Minimum Requirements
● Must be 18 years of age or older
● Strong listening skills
● Fast, efficient, and organized

The Kitchen Prep Assistant supports the preparation and assembly of meals by portioning food into take-out containers and ensuring items are ready for service. This role helps maintain a steady supply of prepared meals by stocking warming units and supporting efficient kitchen operations. Working under the direction of the Kitchen Prep Area Leader, this role is essential to keeping service fast, consistent, and organized.

Key Responsibilities
● Prepare and assemble menu items into take-out containers according to established portions and menu guidelines
● Ensure completed meals are placed in warming units and ready for service
● Follow safe food handling practices at all times
● Maintain cleanliness and organization of the prep area
● Work efficiently to keep up with demand in a fast-paced environment
● Take direction from the Kitchen Prep Area Leader and support overall kitchen operations

Minimum Requirements

● Friendly, courteous, and respectful

The Kitchen Transport ensures timely and safe transport of food between onsite kitchen and serving areas.

Key Responsibilities
● Transport food using carts
● Ensure food remains hot during transport
● Coordinate with kitchen teams based on demand
● Keep service areas stocked

Minimum Requirements
● Must be 18 years of age or older
● Able to move quickly and handle physical tasks

Bar Services

The Bar Tender prepares beverages in a fast-paced environment while ensuring consistency, quality, and responsible service.

Key Responsibilities
● Mix and serve drinks according to standardized recipes
● Use measuring tools to ensure accurate pours
● Provide friendly and efficient service
● Maintain clean and organized bar station
● Follow responsible alcohol service practices
● Support overall bar operations as needed

Minimum Requirements
● Must be 19 years of age
● Comfortable in fast-paced environment
● Strong customer service skills
● Able to follow recipes and procedures
● Team-oriented and reliable

The Bar Cashier processes drink orders and payments, ensuring accurate transactions and efficient service while supporting responsible alcohol practices.
